How-to handle more than million rows in Excel

As part of our Excel Interview Questions series, today permit's await at some other interesting challenge. How-to handle more million rows in Excel?

You may know that Excel has a physical limit of 1 million rows (well, its 1,048,576 rows). But that doesn't mean you can't clarify more than than a 1000000 rows in Excel.

The trick is to apply Data Model.

Excel data model can hold any amount of data

Introduced in Excel 2013, Excel Data Model allows you to shop and analyze data without having to look at it all the time. Call back of Data Model as a black box where you can store data and Excel can quickly provide answers to you.

Considering Data Model is held in your computer retentivity rather than spreadsheet cells, information technology doesn't accept one million row limitation. You can store any book of data in the model. The speed and performance of this just depends on your calculator processor and retention.

How-to load large data sets in to Model?

Permit's say you lot have a big information-fix that y'all want to load in to Excel.

If you don't have something handy, here is a list of 18 1000000 random numbers, split up into 6 columns, 3 one thousand thousand rows.

Stride 1 – Connect to your data thru Power Query

Go to Data ribbon and click on "Get Data". Point to the source where your information is (CSV file / SQL Query / SSAS Cube etc.)

Get data > Get & Transform Data options

Pace 2 – Load data to Data Model

In Ability Query Editor, do any transformations if needed. Once yous are ready to load, click on "Shut & Load To.." button.

Close & Load to... options in Power Query

Tell Ability Query that you want to make a connection, but load data to model.

Now, your information model is buzzing with more than 1000000 cells.

Step 3 – Analyze the data with Pivot Tables

Go and insert a pivot table (Insert > Pivot Table)

Excel automatically picks Workbook Data Model. You can now run across all the fields in your data and clarify past calculating totals / averages etc.

Yous tin also build measures (thru Power Pivot, some other powerful feature of Excel) too.

How to view & manage the data model

One time you have a data model setup, you can utilize,

  • Information > Queries & Connections: to view and adjust connection settings
  • Relationships: to set up and manage relationships between multiple tables in your data model
  • Manage Data Model: to manage the data model using Power Pivot

Alternative reply – Can I non use Excel…

Of course, Excel is non congenital for analyzing such big volumes of data. So, if possible, y'all should try to clarify such information with tools like Power BI [What is Power BI?] This gives you more flexibility, processing power and options.

How can i brand Vlookup work for 1 one thousand thousand rows and not freeze up my estimator? I accept ii sets of data full of customer account numbers and i desire to do Vlookup to match them up. Thank y'all.

At that point, I would only import both spreadsheets into an Admission database, and run a query that connects them based on a common field/ID (eg: account_ID). Excel cells are all variants, so they accept upwards a lot of memory. But, in Admission, y'all can specify the data type of each field (text, int, decimal, etc). And so identify main keys on each tabular array (eg: account_ID). Only create a quick Access database, import the spreadsheets, make a query, connect them, and drag-n-drop the fields you want for the query output. Excel is good for pivot tables and such on pre-aggregated data. When you're trying to do massive data merges (like VLOOKUP on million rows), it's fourth dimension to shift the data into a data-oriented solution which tin can spit out an aggregate information query which you can then export to excel and practise the residuum of your analysis on. You might exist able to leverage the information model he suggested. Put both spreadsheets into the Data Model equally information sources, and then run across if you can open up a drag-n-drop information model screen to claw them together via Primary & Foreign key values (once again, Account_ID or such). Another fashion is to run the VLOOKUP, await for information technology to finish, so copy the column that had values filled in and paste-equally values. If you have to exercise multiple columns of VLOOKUP, just do them ane-at-a-fourth dimension, and then copy/paste-as values. This ways your spreadsheet won't be active (IE: won't update if you change the source data of the VLOOKUP). But, if yous're only trying to merge data sets quick-n-dirty way, it can be done. Trying to run multiple VLOOKUPS on a million record data set at the same fourth dimension volition impale your calculator. So, just do them one-at-a-time and paste-as values.

The international standard abridgement for Million is capital M. NOT mn. You shouldn't brand up your own terms. Information technology takes away from any sense we take that you lot know what you are talking about. BTW, lower case m is milli or 1/1000. Lower instance n is nano or 1/x^-9, or ane billionth.

    • Thanks for the detail Steve.

    • Andrew says:

1mn is million in some financial cases and some countries
1MM is million in some industries
1kk is too million in some countries.

That you dont know virtually this could have away whatsoever sense anyone has that you know what you are talking most, or exit the impression that you are looking to be rude.

I am also pretty certain yous understood it to be i million and you were not opening the commodity expecting information technology to bear witness you 1 nanometer in rows in excel.
